Title:  Warehouse - Specialist

Job Role:

 

Directs the secure receipt, temperature-controlled storage, and precise SAP-tracked issuance of raw and packaging materials across the facility. Champions GMP adherence, root cause investigations, and team training while coordinating with procurement and finance to resolve discrepancies. 

 

Responsibilities:

 

Material Handling & Inventory Management

 

  • End-to-End Material Oversight: Visually cross-check and manage the safe receipt, storage, retrieval, and timely dispensing of Raw Materials (RM) and Packaging Materials (PM), ensuring physical goods strictly match all documentation.

  • SAP & System Accuracy: Execute and control all SAP system processes. Ensure material locations, stock levels, and returned materials from production are updated correctly and in real-time.

  • Dispensing & Allocation: Issue materials via Material Transfer Vouchers for planned batches aligned with weekly/monthly operational plans, ensuring prompt system updates during handover.

  • Stock Verification: Perform routine cycle counting and physical inventory audits, meticulously reconciling actual stock against SAP reports to prevent discrepancies.

  • Documentation & Reporting: Generate accurate Goods Receipt (GR) reports for new consignments and securely maintain all necessary item records and warehouse status reports.

  • Waste & Destruction Management: Generate Material Destruction Forms (MDF) for expired, blocked, or obsolete materials. Upload approved reports to the EDE site and oversee the destruction process per standard procedures.

 

Quality Assurance, QMS & Compliance

 

  • GMP & Data Integrity: Ensure all relevant logbooks, checklists, and records are completed accurately and on time, maintaining strict adherence to Good Manufacturing Practices (GMP) and Data Integrity guidelines.

  • QMS Administration: Handle Quality Management System tasks (via Ample-logic System), successfully managing Deviations, Corrective and Preventive Actions (CAPA), Change Controls, and AMs.

  • Quality Control: Ensure all materials are tested, released, and stored according to written procedures. Proactively prevent mix-ups between different material codes and batches.

  • SOP Management: Continuously review and update related Standard Operating Procedures (SOPs) to ensure alignment with current operational practices.

 

Facility, Storage & HSE (Health, Safety & Environment)

 

  • Climate Control Monitoring: Monitor and record storage conditions, reviewing printed Temperature and Relative Humidity (RH) trends. Manage the strict issuance, cross-checking, and inventory of Cold Store, Refrigerator, and Freezer materials.

  • Access & Security Control: Regulate personnel movement in and out of restricted areas (e.g., Printed Packaging store, Rejected store, Cold store) and enhance overall warehouse security measures.

  • HSE Leadership: Drive departmental initiatives for environmental performance and foster a strong HSE culture. Ensure team adherence to EMS and HSE requirements through continuous monitoring and guidance.

  • Incident Investigation: Lead root cause analysis (RCA) and incident investigations, ensuring the successful implementation of preventive and corrective actions.

  • Facility Maintenance: Oversee routine cleaning procedures, ensuring the workspace remains neat, well-organized, and facility maintenance is executed when required.

 

Cross-Functional Coordination & Leadership

 

  • Stakeholder Communication: Liaise with the Procurement department to resolve issues regarding PO releases, inbound delivery quantities, and locations. Coordinate with the Finance department to release shipment documents for new RM/PM consignments.

  • Issue Escalation: Promptly inform management of any material damage, suspected problems, or operational deviations.

  • Team Development: Conduct On-the-Job Training (OJT) for warehouse personnel, ensuring full comprehension of and adherence to written procedures and safety protocols.

 

Qualifications & Requirements

 

  • Education: Bachelor’s degree in Pharmaceutical Sciences, Business Administration, Supply Chain Management, or a closely related field.

  • Industry Experience: Minimum of 6 years of proven experience within the pharmaceutical manufacturing.

  • Technical & System Proficiency:

    • Strong overall computer literacy with advanced proficiency in Microsoft Excel.

    • Familiarity with SAP (Warehouse Management modules), eQMS platforms (such as Ample-logic), and temperature/environmental monitoring systems (e.g., Vaisala, SIRIUS) is highly advantageous.

  • Analytical Skills: Strong analytical mindset with the ability to review reports, verify stock levels, and conduct root-cause investigations.

  • Communication: Excellent oral and written communication skills in English, with the ability to effectively collaborate across cross-functional teams (Quality, Production, Procurement, Finance).
